Udaipur, April, ceiling fan on a slow setting that does nothing. I was filling a job portal for a sales post in Jaipur. One slot. “Upload all certificates in a single pdf.” Degree, 12th, 10th, caste certificate, two experience letters, a laptop course from 2019 that maybe nobody will read. One slot. Not six.
I had six files. Two were photos. One was a pdf from the university. One caste paper from the tehsil, scan done in Ajmer last year when I was visiting nani. Experience letters were WhatsApp pdfs from old bosses, quality like a potato.
If you upload the degree only, they think you have no experience. If you try to upload twice, the second replaces the first. These portals are not a folder. They are one box with a mean little paperclip.
So I made a stack. Cover first, then certificates, resume last. I will explain why. Then I merged.
One upload box for everything
HR will not hunt your email for the missing caste paper. They download one file. They scroll. If page 7 is a blurry selfie of a letter on a sofa, they skip you. Harsh. True.
Read the line on the portal. Some say “educational certificates”. Some say “all supporting documents”. Some say max 2 MB. That last line is the one people miss. You merge a beautiful 18 mb colour bundle and the site says invalid. Check size with File Size Checker before you dream.
20 MB is the browser limit on our tools. Job portals are usually much smaller. 2 MB, 5 MB, sometimes 10. Shrink photos first. Compress Image. Then JPG to PDF for the photo ones. Then Merge PDF for the pile.
Your file is not uploaded to our server. Degree and caste together is a sensitive mix. I do this in the browser at home, not in a cyber cafe if I can avoid it. Udaipur cafe near the lake has a queue and everyone looks at your screen. No thanks.
Password files. One experience letter came locked. Boss had set a password in a mail from 2021. I did not have the mail. Merge failed on that file. I asked him for an unlocked pdf. He sent a photo. Fine. Photo to pdf, then merge. Password pdfs may fail. Do not sit there thinking the merge button is broken.
Name files on your computer before you drop. 01-cover, 02-degree, 03-12th. Then you drop in that order. First file stays on top in this merge tool. Treat it like a paper file you would hand a clerk.
Order them before you merge
Order is the real work. Merge is the easy click.
I put a one page cover first. Not a fancy design. White page, typed in Word, print to pdf. Name, post applied, list of what is inside. “1. Degree 2. Class 12 3. Class 10 4. Caste 5. Experience A 6. Experience B 7. Resume.” HR opens page 1 and knows the map. Otherwise they land on a caste certificate and get confused why the degree is missing. It is on page 4. They did not scroll.
Some people put resume first. I do not, for this kind of slot. The slot said certificates. Resume often has its own slot. If the portal has only one slot for “documents”, I still do cover, then certificates, resume last. Cover explains. Resume at the end is easy to find if they search from the back. If they said “CV with certificates combined”, then resume first. Read.
Kota friend put experience first because he was proud of it. HR asked where is your degree. It was page 8. He looked careless. He was not. He was proud. Wrong order.
Education usually oldest last or newest first? I do degree, then 12th, then 10th. Highest first. Caste after education. Experience after caste. Extra courses last before resume. This is not a law. This is what I do so I do not rethink every time.
If they gave a numbered list on the portal, follow that list even if it feels odd. Portal list beats my habit.
Two page degree. Keep both pages together. Do not split the back page to the end. Clerk wants convocation date and the other side with subjects. I check with PDF Page Count so I know the university file is actually 2 pages not 1.
Caste certificate often has a pale stamp. Colour scan helps a little. Compress carefully or the stamp vanishes. Preview. If it becomes a white blob, quality slider back.
Cover then certificates, resume last
I make the cover the same day. Date on it. Post name copied from the portal, not from memory. One spelling mistake in the company name and you look sloppy before they even see the B.Com.
Certificates in the middle. I open each source file once. Is it the right year? I have mixed 10th and a sibling 10th because both were in the family WhatsApp folder named “docs”. Check the name. Check the roll number.
Resume last. Latest version. Not the one from 2021 with the old phone number. I learned that in a Jaipur interview. They called the old number. My uncle picked up.
After order is set in the drop list, I download from Merge PDF. I open the merged pdf. I scroll every page like a bored security guard. Upside down scan? Rotate PDF on that source, then merge again. Blank page in the middle? Split it out with Split PDF if the range is simple, or rescan.
I name the download with my name and the company. ramesh-certificates-jaipur-sales.pdf. I keep it. Next portal might want the same stack. I might only change the cover.
If the merged file is above their limit, I do not delete the cover. I compress images more. I drop the laptop course if it is fluff. I do not drop degree.
Phone Chrome works if each piece is small. If merge hangs, you probably dropped a 15 mb colour beast. Compress that one. Stay under 20 MB total in the tab. Close other tabs. Wait. Download.
After merge, open it once on the laptop
Phone preview hides sins. Laptop scroll shows a black page, a password page that is actually a photo of a lock screen, a letter where the signature is cut. Fix before upload.
Upload on the portal. Wait for the success tick. Some sites show a preview. Look at page 1. If preview shows only page 1, that can still be ok if the file has more. Download your own upload if they give a link. Confirm.
If the portal fails with “invalid format”, maybe they want only pdf and you uploaded a zip of pdfs. Unzip your brain. One pdf. That is the whole article.
If it fails with size, checker. Then compress. Then merge again. Same order.
I keep originals in a folder. Merge is a bundle for this job. Next month a different portal wants only experience letters. I should not sit splitting a 12 page monster if I still have the originals. Split tool here is range only, not one-file-per-page. Originals are easier.

The merge is not the hard part. The order is. Get the order right, the click is easy.
