The college portal said max 500 kb. My marksheet photo was 4 mb. I took it with the phone, flash on, whole A4 on the bed. Every subject visible. Also every wrinkle of the bedsheet. The site threw “file too large” and the deadline was tonight.
This is January work in Kota. Coaching forms, university backlog forms, migration. Everybody has a marksheet on paper and a phone. Nobody has a scanner that is kind.
I told the boy, we are not sending the bedsheet. We are sending the marks.
Phone photo of a marksheet is fat
A modern phone writes 3, 4, 6 MB without asking. The college server was built by someone who still thinks 500 kb is generous. Both can be true at the same time.
Do not photograph from two metres with a lot of floor. Fill the frame. Marks, board name, roll. Cut the pillow out. That one habit drops size before any tool.
Then open Compress Image. Drop the jpg. Start quality at 70. Watch the new size. For a marksheet I care about the printed numbers. If 70 makes 11th class marks into smudge, go up to 80. If 70 is 900 kb, I still have work. Resize the width down.
A marksheet does not need 4000 px. 1600 or even 1200 across is enough to read at a desk. Use Resize Image if the compress alone cannot reach 500 kb without killing the digits.
Then check with File Size Checker. Portals lie in their own way. Some say 500 kb and mean 512000 bytes. Some mean 500000. I like to sit under 480 kb so I sleep.
Your file is not uploaded to our server. The marksheet never leaves the machine. That is the only reason I am ok doing this on a shared office PC. Close the tab when you download. The working copy is gone from the tab. The original is still in the phone gallery.
20 MB each file. A 4 MB photo is fine. A 22 MB “pro mode” dump is not. The drop zone will stop you. Export a normal photo.
Password pdf of a digital marksheet is another story. If the board gave a locked pdf, this image tool will not open it. Unlock or print to a photo on your own PC first. FileOnDesk does not guess passwords.
I had a girl from Bundi, 12th marksheet, 4.2 MB, portal 500 kb. She had already run a random app. Numbers were yellow mush. I asked for the gallery original. Cropped on the phone. Width 1400. Quality 75. 420 kb. You could still read chemistry 78. That is the test. If I cannot read the number, the clerk cannot.
Flash glare is the enemy. A white stripe across the percentage. Compress will not remove glare. Tilt the phone, take again, no flash if the tube light is enough. Window light is better than a yellow bulb.
If the portal wants pdf not jpg, make the photo small first, then JPG to PDF. A fat photo inside a pdf is still a fat pdf. Order matters. Thin image, then pdf.
Compress, then check, then upload once
People upload, fail, compress, upload, fail, compress again on the already bad file. After three rounds the 500 kb file looks like it went through a washing machine.
Keep the original. Always. Work on a copy. If the attempt is ugly, throw the copy, start from original.
Steps I actually do:
Drop on Compress Image. Note the size. If under 500 kb and I can read the roll number, download. Check on File Size Checker. Upload to college. Stop.
If still over 500, resize width. Then compress once more from that resized file, not from the previous compressed one if you can avoid a chain. Best is original to resize to compress. One chain.
If the college wants 200 kb for photo and 500 kb for marksheet, those are two files. Do not reuse the same crush. The photo is a face. The marksheet is text. Text needs more quality.
Some portals also reject dimension. “Image width too large.” Then resize is not optional. Read the error. It is not always size in kb.
Chrome. I use Chrome. The college site is already fussy. Do not add a browser that blocks the canvas.
Phone can do this if the photo is 4 MB. Sit still. Do not switch apps in the middle. Download, then upload from the same phone if that is how you fill the form. Emailing the file to a parent and back through Gmail may wrap it again.

If download stays grey, wait. Or the file was over 20 MB. Or you dropped a HEIC. Save as jpg from the gallery.

When 500 kb still feels impossible
You are photographing two pages taped together. Split them. Two files if the portal allows. Or two photos into one pdf after each is small.
You are including the lamination shine and your fingers. Crop fingers.
You are using a screenshot of a Digilocker page that is a full phone screen with status bar and wallpaper. Crop to the document. Or download the actual file from Digilocker and then check size. A screenshot of a pdf is the long way.
You put the paper on a patterned rajai. Pattern is extra jpeg work. White wall, floor tile that is plain, a white chart paper. Studio people use a board. You can use a notebook behind.
If the digital marksheet pdf from the board is already 200 kb, do not photograph the printout. Upload the pdf if they allow pdf. Photographing a print is how 200 kb becomes 4 mb.
I still see that. Print, photo, compress, cry. Use the file you already had.
College sites go down at 11:40 pm. Do the size work at 6 pm. Keep the 500 kb file ready. When the portal breathes, you only upload.
I am not the university. FileOnDesk is not the college portal. Their 500 kb is their rule. We only shrink what you already have. If they want colour scan at 300 dpi and also 500 kb, those two wishes fight. You pick readable and under the cap. If they reject, take a cleaner photo, not a darker crush.
Last week a boy’s 4 mb file became 1.2 mb at quality 70 because he never resized. Still over 500. He thought the tool failed. Width 1200, quality 70, 310 kb. Tool was fine. The photo was just wide.
So. Portal max 500 kb, yours is 4 mb. Crop the bedsheet. Compress Image. Resize if needed. File Size Checker. Read the numbers on the paper in the preview. Then upload once, go eat.
